Nordic Heritage Museum, Seattle, Washington Position closes May 26 or until filled Reporting to the Executive Director the Director of Operations & Finance provides strategic assistance to the Executive Director in oversight and management of the operational functions of the Nordic Heritage Museum including finance, personnel, facilities, and museum security. Description With Executive Director, plan Museum’s operational budget by analyzing exhibition and program needs, projected revenue and expenses. Provide long-range projections and strategic planning information as needed. Recommend appropriate policies, procedures to establish internal controls to safeguard Museum assets. With Executive Director and Senior Staff, prepare the Museum’s annual operating and capital budgets. Responsible for the management of the finances and investments of the Museum. Supervise, coordinate, and participate in the preparation of various financial reports and analyses for the Executive Director, and provide regular financial reports to the board Treasurer and Finance Committee. Supervise the staff of the Finance Department; ensure policies & procedures comply with all accounting laws, professional standards. Create, maintain financial policies/procedures manual. Direct cash flows, maintain appropriate levels of liquidity to ensure continuity of operations. Oversee reconciliation of expenses and fee and cash management. Oversee reconciliation of procurement card transactions. Ensure that transactions comply with Museum policies and procedures. Manage banking relationships. Establish, maintain accounting controls over endowment. Monitor investment portfolio. Ensure staff support for Investment Committee; execute authorized trades, transfers. Assist preparation of tax returns and annual financial reports. Oversee the management of profit centers. Deliver to outside auditors all financial data required; provide staff support to Audit Committee. Serve as a liaison with the Development Department, department heads and Museum committee chairs on accounting and financial matters. Advise the Executive Director on employment related policies and practices. Manage personnel actions to ensure compliance with Museum policies on pay, employment, training and wage administration. Establish and communicate the museum’s internal personnel and payroll policies to all hiring managers. Ensure that all Museum payroll procedures and requirements are met to assure timely payment for all museum employees. Develop and manage employee resources and programs for the museum, including training opportunities, award programs, special events and other initiatives as needed. Recommend various personnel actions including hiring, performance appraisal, promotions, transfers and vacation schedules. Oversee the museum’s property management and accountability. In consultation with the Executive Director, determine fiscal requirements, make projections and prepare budgets for renewal and replacement and capital projects. Manage the purchasing and maintenance activities of the museum property, including oversight of janitorial staff, and building and other contractors, and subcontractors. Oversee and coordinate the establishment, updating, and implementation of a Disaster and Emergency Preparedness Plan. Ensure appropriate staff training in plan. Coordinate with Executive Director and Senior Staff to ensure adequate ongoing security presence on museum property, as well as additional needs for exhibitions, rentals and special events. Ensure that security personnel are trained in the latest security procedures for cultural property protection. Represent the Executive Director in meetings and events of an administrative nature as needed. Perform other related duties incidental to the work described herein. Qualifications / Requirements Minimum B.A. required in finance, accounting or related field, and a minimum of five years experience in business management, or a field directly related to specialized area of assignment. CPA preferred. Professional management, accounting and finance skills are essential. Ability to analyze and implement opportunities to improve the Museum’s financial administration a plus. Exceptional organizational skills; strong communication & interpersonal skills essential. Working knowledge of computerized accounting applications and spreadsheet software, including Quickbooks Accounting System essential. Organization Description The Mission of the Nordic Heritage Museum is to highlight the contributions of Nordic immigrants and their descendants in the development of the Pacific Northwest, and to serve as a cross-cultural bridge among people from the Nordic countries and the United States. The Museum collection and programs center around the life and cultural heritage of the five Nordic countries of Denmark, Finland, Iceland, Norway, and Sweden.
