Verathon Inc. is looking for an experienced candidate with background in international documentation, order administration and/or logistics to become the newest member of the Global Sales Team located in our Bothell, WA. Verathon, Inc. is headquartered in Bothell, WA with subsidiaries located in The Netherlands, United Kingdom, Japan and Australia. We work with distributors and agents in more than 40 countries. The successful candidate will be responsible for consolidating our international order processing and general administrative functions. This person needs to be energetic, reliable, self-structured and able to work with a wide variety of people across different disciplines. A keen attention to detail is a must. Principal Responsibilities: - Process (via Portal), review, and release (via Visual) all subsidiary orders
- Review and release (via Visual) all distributor and direct sales orders
- Confirm regional shipping configurations, including part numbers, weight/dimensions, etc. upon request.
- Working with each Regional Manager/Director, compile monthly equipment forecast from each subsidiary office and each Global Sales Region. Submit forecast by the 5th of each month to Operations
- Attend headquarters backlog meeting and provide Regional Managers and Subsidiaries with updates on supply and delivery dates.
- Assist in preparing Proforma Invoices for purposes of pre-payment by designated distributors, as requested by Global Sales Regional Managers
- Ensure all Purchase Orders match current set pricing in the Verathon Master Price List by region, adding relevant taxes and freight charges when appropriate.
- Coordinate with the accounting department to ensure prepayment is received and credit limits have not been exceeded prior to releasing shipments for export.
- Communicate export documentation requirements with the Shipping Department and assist in preparation for International destinations in accordance to regulatory and country demands. Confirm documentation is prepared correctly prior to shipment.
- Provide tracking information for all deliveries en route to foreign destinations and manage all logistical needs to ensure successful delivery of goods to international destinations.
- Assist in managing master pricing updates for the Global Sales groups.
- Administer monthly updates to the ScanPoint License Fee spreadsheet. Invoice distributors for annual License Fees due each November.
- Special project support as necessary.
Knowledge, Skills, and Abilities: - College degree or equivalent experience.
- Minimum five years administrative experience in a rapidly growing sales organization.
- Must be organized and highly detail oriented.
- Must be able to quickly learn various aspects of Verathon business, including products, sales and international operations processes, policies, logistics and export documentation.
- Experience with any/all of the following systems preferred: Onyx, Visual Manufacturing, ScanPoint, Master Control, and Verathon OE Portal.
- Knowledge of import/export documentation requirements and international business practices required.
- Must have excellent communication skills—written and verbal. Technical writing experience a plus.
- Contract review or contract management experience helpful.
- Foreign languages (Spanish, French, Asian languages) and or international business experience desired, but not required.
